Make the location’s jurisdiction clear
Provide the city, county when known, and state for every address under review. A Chattanooga-area lead is not necessarily a Tennessee address. If a vehicle is believed to be outside the state, tell us before assuming it falls within Tennessee coverage.

Give information relevant to access and movement
A residential driveway, a managed parking lot, and a commercial location can involve different access conditions. Identify the kind of lead, any known restrictions, and the date of the last vehicle observation.
Also note keys, whether the vehicle is believed to run, and any known damage affecting loading. Unverified information should be described as a lead, not as an established condition.
Separate recovery from disposition instructions
The lender should specify whether the asset is to be stored or moved to an approved receiving location. Provide the destination address and contact, including any appointment required to accept the vehicle.
A receiving facility’s location does not establish that it has approved the release or is ready to receive the asset. Confirm those arrangements with the lender and receiving party before a further move is scheduled.
Send changes against the correct account
Use the complete VIN and account reference when changing an address, placing a hold, or cancelling an order. Name the contact who can resolve questions, particularly when a collections team and a disposition team are both involved.
