Establish who can authorize the assignment
Start with a signed repossession authorization and a copy of the security agreement or lien documentation. The lender name, account reference, and vehicle identification should agree across the paperwork. If a servicer or another representative is placing the order, identify the secured creditor and the person responsible for approving instructions.
Tell us about any hold, cancellation, dispute, or other restriction that affects whether the assignment should proceed. A location lead by itself is not an authorization to recover a vehicle. Questions about the right to repossess should be resolved by the lender before the order is activated.
Send information that identifies the asset
- Vehicle year, make, model, color, and complete VIN.
- Borrower name, current contact details, and last known address.
- Last known vehicle location, including an apartment unit, lot name, or business address where relevant.
- Recent contact or sighting information, with dates so old information is recognizable.
- Known key availability, vehicle damage, non-running condition, or transport restrictions.
Provide instructions for the next decision
Name one contact for changes to the order. Include the lender’s account reference on updates, and state whether the case requires recovery only, a locate review, a scheduled surrender, storage, or delivery after recovery. Supply the intended destination if it has already been approved.

Keep recovery intake separate from title-transfer paperwork
The documents used to start a field assignment are different from the paperwork used to title a repossessed vehicle after sale. Tennessee’s Department of Revenue lists a title application, title showing liens, a special-condition sales affidavit or applicable repossession form, fees, and tax-payment evidence for that later process.
For title and registration requirements, use the Tennessee Department of Revenue’s repossessed-vehicle guidance. Have the lender or its title specialist confirm the paperwork for the particular transaction.
